Onboarding a new employee is a critical moment that sets the foundation for the rest of their career at Notre Dame. NDHR, in strong partnership with OIT, is excited to be reimagining the staff onboarding experience to ensure that we are setting up our new staff employees and people leaders for success.  

The New Onboarding Journey

Delivers key information at strategic intervals in a staff member's first 90 days

  • Learn about the University's history, mission, and vision 
  • Complete necessary paperwork such as I-9s, benefit enrollment, and direct deposit forms
  • Explore resources on campus that are designed to help them thrive at the University of Notre Dame

Supports people leaders as they welcome new staff

  • Assigned tasks to help you prepare for your new staff member
  • Bring clarity to an employee's Onboarding Journey for increased visibility into their progress

Utilizes the Self Service Center

  • Self Service Center is designed to provide people leaders and employees with the information they need, at their fingertips. Onboarding Journeys will live within Self Service Center, providing everything you need in one place, at any time of day.

Details

We will launch a new onboarding platform and process in May 2024. This new platform will contain all central onboarding components such as a history of the University and information on direct deposit and Employee Resource Groups. Please note that department-specific onboarding activities will continue to be managed by individual departments. You can expect the following onboarding process for all staff hires made on or after May 21 . For those participating in the soft launch of the platform, these changes will begin March 27.

  • Upon an accepted offer, new staff members will be assigned a netid
  • New staff members will receive access to an online platform
  • Upon clearing background checks, new staff members will be assigned an Onboarding Journey in the Self Service Center
  • New staff members will be assigned relevant tasks at strategic intervals (first day, first week, first month, etc.)
  • Hiring managers will monitor the progress and completion of required onboarding tasks

Will in-person onboarding sessions continue?

In-person onboarding sessions (i.e. New Hire Orientation) will no longer exist in their current format. We have found that sharing all necessary information at once, is not the most effective way to ensure our new hires have what they need to be successful. By strategically sharing specific tasks at regular intervals, we are enabling new employees to work through the wealth of information in a more manageable way.  However, we recognize the importance of fostering community and plan to offer two in-person components:

  • In-person benefit sessions where individuals may ask specific benefits quesitons of the NDHR team.
  • Coffee and Converations has been an onboarding tradition that allows new hires and their managers to meet senior leaders and others on campus. This event, paired with an experience at the Basilica of the Sacred Heart, will continue to be offered as part of the onboarding journey.
Will onboarding tasks be required?

Yes, some onboarding tasks will be required, and others will be optional. As a manager, it is part of your role to ensure that your new hire is moving through their Onboarding Journey, within the Self Service Center, and are completing their tasks. 

Who should new staff members and people leaders contact with questions about their onboarding journey?

Each people leader and new hire will have a contact listed in their Self Service Center Onboarding Journey. You may reach out to the individual listed or submit a question in the Self Service Center.

Will this new onboarding process apply to everyone?

This first phase of reimagining onboarding will apply to new full-time, part-time, and temporary staff members. In the future, all employees will follow this onboarding journey.
