APPLYING FOR A JOB: GETTING STARTED

How can I learn about available positions at the University of Notre Dame?
Job postings are available 24 hours a day on the Jobs@ND employment site at http://jobs.nd.edu by clicking on the "Search Postings" link. All current staff and administrator vacancies are posted on the Jobs@ND website. Before applying for an advertised vacancy, you should carefully read the job posting to be sure that you are interested in and possess the requirements for the job.
How often are new jobs listed?
Positions are updated on the Jobs@ND employment site as soon as an opening becomes available, often on a daily basis. To check on any new postings, visit http://jobs.nd.edu and click on the link entitled "Search Postings". To see the newest postings, sort the results by clicking on the arrow next to the title of the date column.
How do I apply for a job?

The application process has three steps:

  1. Creating a login user name and password. This will enable you to come back and apply for additional positions as well as check on the status of a position.
  2. Creating your online application. This can be done at any time. You may also search open positions before creating the online application.
  3. Apply for a specific position using your online application.
What is the difference between an internal and external applicant?
An internal applicant is a regular full-time or part-time employee (not on-call or temporary) at the University of Notre Dame.  Internal applicants must be a regular employee in a current position for a minimum of twelve months, and not have been the recipient of any corrective action for a period of one year.
An external applicant is an individual from outside the University or someone currently working as an on-call/temporary employee at the University of Notre Dame. 
How long does it take to fill out an application online?
Approximately 45 minutes. It depends on the detail the applicant provides in the application.
Do I have to fill out an application?
Everyone who applies for a position is required to create an application which includes certain information. Any required information is denoted with an asterisk (*). However, the more information you provide, the easier it will be to effectively evaluate your skills, abilities and qualifications.
Can I apply directly with the hiring department?
No. The Office of Human Resources is the central intake point for all university vacancies. Only those applicants applying via the online Jobs@ND employment site will be considered.
What information should I include on my application?
Your application should fully describe all of your education, training and work experience. Ensure that all sections of the application are completed. It is very important that you provide detailed information about your qualifications and accomplishments so we can best evaluate your job application. To further describe your job duties and/or experience, you should attach a cover letter and resume.
What if I am not ready to fill out the application at this time?
If you do not want to complete the application at this time, please click "CANCEL" at the bottom of the page.
How do I save my application?
If you either close your browser or lose your Internet connection prior to completing your application, log in again and select "Edit Application". Completed pages will be saved and you will be able to continue entering information. Your application is not complete until you receive a confirmation number.
What if I have already created an application?
If you have already created an application within the Jobs@ND employment site, and wish to update your information, select the "Login" link and enter your existing username and password.  Once you have logged in, you will be able to apply for positions, edit your information and review previous applications. 
What if I forget my username and password?
Follow the "Password Retrieval" instructions on the Jobs@ND employment site or contact the askHR customer service center at 574-631-5900 or askHR@nd.edu.
Will I be able to attach my resume?

After completing the online application and selecting the position for which you would like to apply, you will come to a screen that allows you to do one of two things:

1. Attach resume and/or cover letter in Microsoft Word or PDF format.
2. Copy and paste or type in resume and/or cover letter.

It is important to read all of the instructions carefully so that you send all of the required attachments for the position. Required documents will be highlighted with an Asterisk (*).  If you do not add the required document(s), your application will not be complete and an error message will appear.

To whom should I address my cover letter?
Address the letter to "Recruiting Consultant" or "Hiring Manager" instead of a specific individual.
May I submit my resume to be kept on file until a suitable position becomes available?
You cannot submit a resume until you apply for a specific job. Your resume is then stored on the Jobs@ND employment site and you may reapply for other suitable positions.
Should I mail a copy of my resume if I have already submitted it via the Jobs@ND employment site?
No. A resume submitted via the Jobs@ND employment site is sufficient.
Why would I have to make changes to my application?
Any time your contact information changes (address, phone number, email address, etc.) you need to make those updates to your application. If you have acquired additional skills, education, or work experience, you should update your application with this information to make sure all of your qualifications are considered by a hiring manager and selection committee.
What should I do if I want to apply to multiple positions?
Once you have created an application in the Jobs@ND employment site, you will not be required to duplicate this information. However, you can update this information by accessing the "Manage Applications" section of our website, and then clicking on the edit feature. To apply for multiple positions, simply search the site for any currently open positions and click on the "Apply for this Posting" feature. You will be automatically directed to the supplemental questions for the new position that you are applying for.
What if I do not own or have access to a computer?
You can submit your application and required documents from any computer with internet access (home, school, library, etc.).   If you do not have access to a computer, please visit the Office of Human Resources located on the 2nd floor of Grace Hall from 7:30 a.m. to 5:00 p.m., Monday through Friday.  Four computer stations are available in the reception area for you to view the Jobs@ND employment site at http://jobs.nd.edu.  
I am having difficulty completing the online application from my home computer. What can I do?
If you are having difficulty completing the online application, please make sure that your computer is operating with Internet Explorer version 5.5 or higher. If you are still experiencing difficulty, please contact the askHR customer service center at 574-631-5900 or askHR@nd.edu.  We can answer your questions or provide options for completing the application.
How long can I use my application to apply for positions?
Applications remain on file as long as you are actively applying for positions. Applications can be updated at any time by using the "Manage Applications" link.  We recommend for you to update your application if it has been 6 months or longer since you last applied within the Jobs@ND employment site.
If I am a current Notre Dame employee, do I have to submit an application?
Yes. All applications are submitted online at http://jobs.nd.edu.  It is likely that you may have acquired additional skills, experience and education since you originally applied that should be considered. In addition, completing an online application ensures your qualifications and personal information will be documented and ensures accurate applicant tracking information for every position.
I missed the job closing date - can I still apply?
Once the job closing date has passed no applications will be forwarded to the hiring manager and selection committee. Please continue to visit the applicant site and apply for new jobs as they become available.
What if I am interested in a faculty position?
If you are interested in a faculty or other academic personnel appointment, please contact the appropriate college/department directly for more information.  Please visit the website of each College for a listing of current faculty openings.  To locate a specific academic area, please visit the online directory at http://apps.nd.edu/webdirectory/
I am a student looking for a job. Where should I apply?
All student positions are listed on the Student Employment website - http://financialaid.nd.edu/jobboard/.  Please contact Student Employment at 574-631-6454 for additional information.
What does exempt and non-exempt mean?
Fair Labor Standards Act (FLSA) is a federal law governing various pay policies including overtime pay and recordkeeping.  Employees considered non-exempt from the overtime provision of the FLSA are required to keep track of hours worked and earn overtime for hours exceeding the normal 40 hour work week.  Employees considered exempt from the overtime provision of FLSA are paid an annual salary and are not required to keep track of hours worked nor do they earn overtime for working more than 40 hours in a work week.
Tell me about the University's Temporary Pool.
The University of Notre Dame administers its own internal temporary pool for office/clerical opportunities. Working as a temporary employee is a great way to gain valuable skills and allows you to learn more about the different opportunities available within the University of Notre Dame. There are often full-time or part-time, and short- or long-term assignments available throughout the year. All temporary pool positions are on an as-needed basis. Interested candidates must apply online on the Jobs@ND employment site.  Please refer to the “Office/Clerical Assistant (Temporary Employment)” posting at http://jobs.nd.edu for available opportunities. 
Can I apply for both regular and temporary positions?
You may apply for temporary positions while also applying for regular positions. Temporary Employment is an excellent way to begin a career at the University. Please refer to http://jobs.nd.edu for available opportunities or contact the askHR customer service center at 574-631-5900 or askHR@nd.edu for additional information.  
If a job was posted a few months ago and remains on the Jobs@ND employment site, is it really still open?
Jobs are removed as they are filled. If a job is listed on our employment website, it is still open. Be aware that some jobs take longer to fill than others and may be open for up to six months.   Please feel free to contact the askHR customer service center at 574-631-5900 or askHR@nd.edu.
   
CHECKING YOUR STATUS AFTER APPLYING
What happens to my application after I submit it?

You will immediately receive a confirmation number upon successfully submitting your application. If you provided your email address, you will also receive an email confirmation that your application was received.

Your resume will be reviewed by a Recruiting Consultant and, depending on qualifications, forwarded to the Hiring Manager. The Hiring Manager and/or Recruiting Consultant are responsible for determining who will be contacted for an interview.

Can I check my status for a position?
You may review the status of your application by choosing the "Application Status" link on Jobs@ND employment site http://jobs.nd.edu anytime you log in.
How will my application be evaluated?
When you apply for a position, a Recruiting Consultant will evaluate your application. Your qualifications in relation to the respective job, along with those of all other applicants, will be compared against the skills/qualifications needed for the position.
How long does the entire interviewing process take?
The search process varies for each opening due to the high volume of applicants, so please feel free to log into your application to check the status online.  If you want additional information, please contact the askHR customer service center at 574-631-5900 or askHR@nd.edu.
Can I schedule an interview for a position that I'm interested in applying for?
Due to the large number of applications and requests for interviews, general appointments cannot be made. Should a department feel that your qualifications match the needs of their position, you will be contacted directly for an interview.
How are job interviews arranged?
The Hiring Manager and/or the Recruiting Consultant will contact you if you have been selected for an interview.
If I am offered an interview, is there a way for me to go and look at the job posting?
Yes.  By logging in under your user name and password, you will have access to manage your jobs.  Under this section, you will be able to view the job posting for all the positions for which you applied.
Will the Office of Human Resources contact me if my qualifications match a newly opened position?
Due to the large number of inquires that we receive, we cannot contact applicants when a position becomes available that matches their qualifications. Please visit the Jobs@ND employment site frequently for updates and newly opened positions.
Why was I not hired or called for an interview?
Competition is very high for each position within the University. Therefore, it is advised that you apply for any position you are interested in and for which you are at least minimally qualified. Please recognize that given the intense competition, it is not unusual for 100 people to apply for any one job. Typically, 5-10 applicants will be selected for interviews by departments for a given position.
Is there someone I can call to follow up regarding my interest in the University of Notre Dame?
Regretfully, due to the high volume of resumes we receive daily, it is not possible to respond to individual inquiries about the status of a resume or search. You will be contacted directly by a recruiting consultant or the hiring manager if you are selected for an interview. You may also log into the website using your username and password to check the status of your application.  Should you have specific questions, please contact the askHR customer service center at 574-631-5900 or askHR@nd.edu.
Will I hear a response either way?
For all regular part-time and full-time positions, you will be contacted by the Hiring Manager or Recruiting Consultant directly if invited for an interview or you will be notified by letter (via U.S.  Mail) if the position is filled. Most on-call positions are open for extended periods of time and hiring managers will contact individuals as they have an opening. Letters are not sent for on-call positions.
