Policy
The University Identification Card (ID) provides access to a variety of resources at the University. It is required for all staff, administrators, faculty, and currently enrolled students at the University. The ID card is the property of the University of Notre Dame, must be presented upon the request of an appropriate University official, and may be revoked at any time by the University. Eligibility
All currently employed administrators, faculty, and staff, as well as currently enrolled students receive an ID card upon their affiliation with the University. A retiree ID is issued to employees who retire with a pension from the University. ID cards are not issued to temporary employees. However, if the nature of the temporary assignment warrants, a letter from the hiring department outlining the need may be sent to the Office of Human Resources at askhr@nd.edu or 200 Grace Hall for issuance of a Courtesy Card.
In addition, spouses of current, regular, full and part-time administrators, faculty, staff, and retirees are eligible for a Spousal ID Card.
Procedures
New Administrators, Faculty, and Staff
New administrators, faculty, and staff obtain a University ID card after completing the Employment Eligibility Verification Form I-9 in the Office of Human Resources.
ID Card Renewal
An expiration date is printed on the front of each ID card. Expiration dates vary according to the type of appointment. It is the responsibility of each cardholder to renew their card upon expiration by presenting it to the Office of Human Resources at 200 Grace Hall. There is no renewal fee, and no appointment is necessary for this service.
This information is provided to each recipient when cards are issued.
Replacement of Lost or Stolen ID Cards
Lost or stolen ID cards should be reported to the Office of Human Resources, 100 Grace Hall, where a replacement card can be obtained. There is a $30.00 replacement fee for lost or stolen ID cards. The replacement fee is waived upon the presentation of a police report.
Employees Leaving the University
Departments should collect and return ID cards to the Office of Human Resources, 100 Grace Hall, when an administrator, faculty, or staff member terminates their relationship with the University.
Retiree ID Cards
Retiree ID cards may by obtained from the Office of Human Resources, 200 Grace Hall, upon retirement.
Spousal ID Cards
Spouses of current, regular administrators, faculty, staff, and retirees are eligible for a Spousal ID Card. Card privileges include: use of athletic facilities as outlined by the Department of Athletics; Notre Dame Bookstore and Golf Course greens fee discounts; Domer Dollars; and free admission to regular season play for men's and women's soccer, volleyball, baseball, softball, and men's and women's lacrosse. Spousal ID cards may be obtained at the Office of Human Resources, 100 Grace Hall, during regular business hours. There is a $5.00 fee for obtaining the Spousal ID.
Affiliate / Courtesy Cards
Affiliate / Courtesy Cards are issued to individuals from organizations affiliated with the University but not directly employed by the University. The card affords access to the use of campus facilities and may be obtained at the Office of Human Resources, 200 Grace Hall.
