Charitable Contributions

Applies to Administrators, Faculty, & Staff
Policy
The University is committed to contributing to the quality of life in the South Bend community in ways that further Notre Dame’s values and academic mission. This commitment is demonstrated through volunteerism on the part of administrators, faculty, staff, and students and through the financial support and assistance provided to community and service organizations.
In an effort to provide this financial support and assistance, all charitable contribution requests made on behalf of the University must be approved by the appropriate budget unit director. In addition, contribution requests of $500 or more must be submitted to the Office of the Executive Vice President for further review and approval.
Note that this policy does not apply to donations made to political organizations. Not-for-profit institutions organized under Section 501©(3) of the Internal Revenue Code—-like the University of Notre Dame—-are prohibited from making political donations.
Procedures
Charitable contributions are processed on a Check Requisition form available at http://apps.nd.edu/control_forms/search.cfm. The purpose of the donation should be provided on the Check Requisition form or by the attachment of supporting documentation. Donations are charged to the appropriate budget unit under the Donations expense category (72502) and should not be charged to miscellaneous or other expense categories. The appropriate budget unit director should sign the Check Requisition before it is submitted to Accounting and Financial Services, located on the 8 th floor of Grace Hall, for processing.
Any contribution of $500 or more should be submitted to the Sr. Advisor to the Executive Vice President for approval before it is sent to Accounting and Financial Services. To assist in the review and approval process, all requests for charitable contributions should be accompanied by a Request for Charitable Contribution by the University form. This form can be found on the Controller’s web site at: http://controller.nd.edu/forms/request_charitable_contributions.pdf
