Summer Employment Program

Human Resources administers the University's Summer Employment Program, which is designed to assist hiring departments in filling vacant positions that are normally held by Notre Dame students during the academic year as well as temporary, seasonal positions created by additional departmental needs during the summer months. The Summer Employment Program begins the day after Spring semester final exams and ends the day before classes begin the following Fall. Just like regular employment, Summer employment is governed by the practical application of Equal Employment Opportunity/Affirmative Action principles and policy. Therefore, the priority system outlined below will be used when referring candidates to hiring departments for consideration and when making hiring decisions:

Priority Referral of Candidates

  1. Current Notre Dame students who are enrolled in the upcoming Fall term and incoming freshmen who have been accepted for the upcoming Fall term.
  2. Sons and daughters of faculty, administrators, and staff who are high school graduates and enrolled full-time in a post-high-school educational institution for the upcoming Fall term. 
  3. Sons and daughters of faculty, administrators, and staff who are currently enrolled in high school and are at least 16 years of age.
  4. All other applicants.

Initiating A Summer Employment Job Posting

To initiate the recruitment process for Summer employment, the hiring manager must first submit a Requisition through Jobs@ND.  The Jobs@ND Online Employment site can be utilized to post summer positions, access and manage applications online, and close positions when filled!  To initiate a Requisition and access the site please follow these simple steps if you do not currently have a user account:

  •   Access Jobs@ND at http://jobs.nd.edu/hr
  •   Create a User Account (Account will be approved and available by 10:00 am the next business day)

Upon receiving the online Requisition, Human Resources will post the Summer vacancy on the University web site.  Applications received can be accessed by hiring managers through the site. When a decision is made to hire an individual for Summer employment or for temporary departmental needs, the hiring manager should follow the guidelines below:

Hiring a Notre Dame Student (Current and Incoming Freshmen)

  1. Consult with Human Resources to initiate the proper pre-employment requirements (if necessary).
  2. A Criminal Records Verification and Sex Offender Registry check is only required for individuals who are hired for programs working with minors.
  3. Complete a Student Personnel Action Form and forward it to the Student Employment Office, 115 Main Building. Student Appointment Forms for Notre Dame Graduate students hired for academic assignments should be sent directly to the Graduate School, 510 Main Building.

Hiring All Others

  1. Notify Human Resources of your hiring decision to ensure that an Application of Employment is on file.
  2. Consult with Human Resources to initiate the proper pre-employment requirements.
  3. A Criminal Records Verification is required for all Summer employees except for ND students who are hired for programs working with minors.
  4. A Sexual Offender Registry check is required for all Summer employees.
  5. Submit the following completed forms with the appropriate supporting documentation to Human Resources, 200 Grace Hall:
    • Staff PAF (please indicate Summer Employment in the comment section)
    • Form W-4 (Federal tax withholding)
    • Form WH-4 (State of Indiana tax withholding)
    • Form MI-W4 (State of Michigan tax withholding)
    • Form IL-W4 (State of Illinois tax withholding)
    • I-9 Employment Eligibility Verification **MUST be certified in person at Human Resources**
    • Direct Deposit
  6. Work Permit ( if applicable).  Indiana law requires that students who have not yet graduated from high school and are 17 years of age and younger must obtain a Work Permit before they can begin work.

Summer employees are typically paid bi-weekly on an hourly basis and are required to document their hours worked on a timecard. Weekly timecards must be submitted directly to Payroll, 724 Grace Hall, each Monday by 9:00 a.m.
